Case Study — Manufacturing & Industrial Services

Groupe Renard eliminated 14 hours of weekly admin work — without hiring a single person.

A 38-person industrial services company in Lyon was drowning in lead follow-up, reporting, and supplier communication. Three weeks later, everything runs on autopilot.

The problem: admin work was eating the team alive

Groupe Renard runs projects for industrial clients across the Auvergne-Rhône-Alpes region. Every week, their office manager was spending 4–5 hours manually routing inbound RFPs to the right project manager, chasing supplier quotes via email, and building a weekly status report from six different spreadsheets.

Lead response times averaged 4 hours — sometimes a full business day. By the time someone followed up, the client had already called three competitors. Conversion on warm inbound was suffering, and nobody had bandwidth to figure out why.

What we deployed

📥
Lead Intake & Smart Routing
Inbound RFPs are classified by project type, urgency, and estimated value using GPT-4o-mini. The right PM gets an email within 90 seconds of submission, with a CRM note pre-filled.
📊
Weekly Status Report — Automated
Every Monday at 8am, a report assembles itself from their 6 project-tracking spreadsheets and gets sent to the leadership team. No manual data entry.
📬
Supplier Quote Chaser
When a quote request goes out, the system tracks 48h/72h/5d milestones and sends a polite follow-up to the supplier contact automatically — with a copy to the Renard PM.
🤖
AI Response Drafting for RFPs
PMs review a GPT-drafted first response to each new lead. They make corrections, approve, and send — cutting response drafting time from ~25 minutes to ~6 minutes.

"We thought we'd need to hire a part-time office manager to handle all this. Instead we deployed these automations and the team just... has more time. The Monday report alone saves us 3 hours every week."
— Sophie Renard, Co-Founder & Operations Director, Groupe Renard

How it works technically

The automations run on a combination of webhook triggers (from their contact form), scheduled jobs (for the weekly report), and OpenAI for classification and drafting. The system connects to their existing Google Workspace and a shared Notion workspace — no rip-and-replace.

Setup took 3 days. The remaining time was spent on configuration: mapping the right PM for each project type, training the AI on their response style, and connecting the existing tools. Total project duration: 3 weeks.
